How balloon delivery works at TFDS

Most LA balloon delivery services fall into one of two models: (a) drop-off of balloons-only (you assemble) for $50-150, or (b) full custom design + delivery + install at $850-$2,500. We work in the middle — pre-assembled, pre-designed package kits delivered and professionally installed at your venue at fixed prices from $300 to $550.

The delivery + setup workflow:

  1. Day -3 to -7: you book online, pick package and palette, confirm event date and venue address. We confirm within 2 hours and send the deposit invoice.
  2. Day -3 to -1: we prep the kit in our studio — balloons blown, garland sections assembled, vinyl plotted, frame pre-built.
  3. Event day: our team arrives at your venue 30-45 minutes before guests with the pre-built kit. Standard 30-45 minute setup; we hand off photo-ready and clear out.
  4. Optional same-night takedown: +$60 if you want us to return after the event and remove the installation.

The crucial difference vs drop-off: balloon garlands cannot be safely transported pre-assembled in a non-professional vehicle. They tangle, deflate from temperature changes, and lose shape. We use a TFDS van with rack-mount transport for the structural pieces, and we handle on-site final inflation for the garland clusters. That's why our packages all include setup at no extra charge — there's no drop-off-only option to opt into.

Delivery zones across LA

Our central LA depot serves a 25-mile radius at no delivery surcharge — that covers all 16 of the LA neighborhoods we publish coverage notes for, plus surrounding areas. Beyond 25 miles, a $1.50/mile surcharge applies. Common further-distance scenarios:

  • 0-25 mi (no surcharge): Central LA, Beverly Hills, West Hollywood, Santa Monica, Hollywood, Brentwood, Bel Air, Pacific Palisades, Hancock Park, Mid-City, Culver City, Marina del Rey, Studio City, Sherman Oaks, Encino, Pasadena, Burbank, Glendale, Manhattan Beach.
  • 25-40 mi ($1.50/mi surcharge): Malibu, Calabasas (some addresses), Long Beach, Pasadena hillside, certain Valley addresses, San Gabriel, Whittier.
  • 40+ mi: case-by-case quote, typically Orange County events and Inland Empire venues.

Delivery time windows

We schedule delivery to arrive 30-45 minutes before your event start time. Standard delivery windows:

  • Morning (8-11am): for late-morning brunch events, pre-business-hours office setups, weekday early events
  • Midday (12-3pm): for afternoon events, late-lunch brunches, school graduation parties
  • Afternoon (3-6pm): for evening parties, weeknight events, after-work celebrations
  • Pre-business-hours (before 8am): typically corporate events — no surcharge through 8am, +$95 for before 7am setups

We avoid LA peak traffic windows (7-9am and 4-7pm) when possible — most deliveries fall outside these windows.

Same-day delivery vs scheduled delivery

Same-day delivery is available with a $75 rush surcharge when our schedule allows — typically Tuesday-Thursday is the easiest, weekends are tighter. Same-day requests work best when:

  • Booked by 10am for an afternoon/evening same-day event
  • Inside 15-mile radius of depot (further distances reduce same-day feasibility)
  • You're flexible on palette (we use what's on hand if pre-mix needs are tight)
  • The package doesn't require pre-cut custom vinyl (Birthday "Sweet 16" with cut name vinyl needs 24+ hours)

For most events, we recommend booking 2-3 days ahead at minimum. Saturday events should be booked 1-2 weeks ahead in standard demand seasons (Sep-Apr) and 2-3 weeks ahead during peak seasons (May-Aug graduation/wedding cluster).

Delivery for hotels and event venues

We work with most major LA event venues regularly. The protocol:

  • Hotel suites (Beverly Wilshire, Sunset Tower, London WeHo, Edition, Montage): the host books the room ahead and informs concierge. We coordinate the setup window directly with the events desk or concierge.
  • Venue event spaces (Fairmont Miramar, Casa del Mar, Greystone Mansion, Hotel Bel-Air): vendor sign-in at main entrance, certificate-of-insurance pre-shared. We handle vendor paperwork.
  • Restaurant private dining: most LA restaurant private dining rooms accept third-party balloon decor with 48+ hour notice. Confirm with the restaurant's events manager.
  • Private homes: standard delivery, no special protocols. Hillside addresses with grade issues may need a quick dolly shuttle (no extra charge).

For weekday corporate events, we typically arrive before 8am with after-hours setup available before 7am ($95 surcharge for very early starts).

What's NOT delivered (custom-only)

  • Helium-filled balloon bouquets (separate product format — air-filled with structured frame is what packages use)
  • Single-element drops (just a vinyl name, just a centerpiece without a backdrop) — packages are bundled scope
  • Custom palette mixing on the day (three pre-mixed palettes per package only)
  • Multi-room or rolling-event setups (single venue, single install)
  • Outdoor beach setups (require permits secured by the host)

Is helium included in the delivery?

What happens if the delivery is late?

We track LA traffic in real-time and communicate via SMS if we expect to arrive outside the agreed window. In 5+ years of LA event work, we've had to push a setup time by 30+ minutes only a handful of times. For corporate events with tight pre-business-hours windows, we build a buffer into our schedule.

Can I pick up the package myself instead of having you deliver?

No — packages cannot be safely transported in a non-professional vehicle (garlands tangle, frames don't fit in sedans, balloons deflate from temperature changes). The Proposal package ($300) is our smallest option and even it requires professional transport.

Do you charge extra for delivery to gated communities?

No — gated communities are within standard delivery scope (Bel Air, Hidden Hills, etc.). The host needs to add our company and driver's license plate to the guard-gate vendor list 24 hours ahead; we provide the info when you book.
